With Group Level Service Areas, you can now create custom service areas, set travel fee overrides, and even hide scheduling options for those areas. How to set up group level service areas

    Step 1: Click the Groups tab

    Step 2: Choose the group

    Step 3: Click the Service Areas tab

    Step 4: Click 'Add a Service Area'

    Step 5: Choose 'Type of Service Area'

    Step 6: Set 'Distance'

    Step 7: Enter 'Travel Fee' override, if needed

    Step 8: Click 'Any Available Only' checkbox, if needed

    Step 9: Enter 'Any Available Max Payout', if needed

    Step 10: Choose 'Fallback Team Member', if needed

    Step 11: Click 'Hide Calendar' checkbox, if needed

    Step 12: Repeat steps 4 through 11, if needed


Step-by-step:


Step 1: Once you have reached out to our Support team and gotten Group Level Service Areas enabled, you can start configuring your Service Areas for your Groups.  Click the Groups tab at the top of the page.


Step 2: In your list of groups, choose the Group that you would like to add Service Areas for. Note: the Group must have a group address in order for you to create Group Service Areas for them.  The Group Address can be added on the Group Details tab.


Step 3: Click the Service Areas tab on the left-hand side of the page.


Step 4: Similar to creating a Service Area for a Team Member, you will click the 'Add a Service Area' button to create a Service Area for the Group.



Step 5: In the 'Type of Service Area' drop-down, choose the type of Service Area you would like to create.



Step 6: Enter in the 'Distance' for the Service Area.


Step 7: Now that you have the Service Area created, you can start configuring it for your Group.  In the Travel Fee column, you can enter in a Travel Fee override amount.  This will make it so that any client within this Group that places an order in this area will only pay that amount for the Travel Fee, regardless of what the Travel Fees are set to in your Team Member's service areas.  Note: your Team Members payout will still be based on their travel fee amount and not the override amount.  For example, if your team member gets a payout of 100% of their travel fees and their normal travel fee for an area is $50 but you set the Travel Fee override for a group to $20, the client will pay $20 but the Team Member will still get paid $50.


Step 8: In some cases, you may want the Travel Fee override to only apply if the client chooses the 'Any Available' option instead of a specific team member.  In this case, you can click the checkbox for 'Any Available Only' and that will ensure that they only get that special Travel Fee amount when they allow the system/you to choose their assigned team member.


Step 9: Since the Team Member's pay is based on their Service Area's Travel Fee set up and not the Travel Fee override amount, this could result in you paying the team member more than the travel fee amount the client paid.  To help combat this, you can set a 'Any Available Max Payout' to ensure that any team members offered with the 'Any Available' option do not exceed a certain payout amount.  For example, if you are only charging the client $20 to cover this area, you can set the 'Any Available Max Payout' to $20.  This will make it so any team member considered in the 'Any Available' option has a payout less than $20 and ensures that you are not paying out more than the client paid. 


Step 10: If you are setting up a Service Area for a Group, it may be because you don't currently have anyone to service that area but have agreed to travel to this area for this Group only.  In that case, you will need to set a 'Fallback Team Member'.  The Fallback Team Member will be assigned any order placed by a client in this Group when there isn't a Team Member that regularly services this area.  This could also be helpful if you do have a team member that covers an area but they are going on an extended vacation - you want to ensure that those clients can still place their orders.  In the 'Fallback Team Member' drop-down, choose the team member that should get those orders when no other team member is available for coverage.



Step 11: Since some Group Service Areas could be located far away or have low coverage, you do have the option to hide the scheduling.  This will allow the order to go through, but be unscheduled, to give you an opportunity to find the best date and time to schedule that shoot.  If you would like to hide the scheduling for that area, click the checkbox below 'Hide Calendar'.



Step 12:  If you need to create additional Service Areas for a Group, you can repeat steps 4 through 11 and create as many Service Areas as you need for that Group.


When a client in that Group places an order, they will now have the benefit of special coverage areas or travel fee amounts!
